Apostille and documents going abroad

Why is your federal apostille faster than mailing it myself?

Because we do not mail it. Our team in Washington, D.C. hand-delivers the request to the U.S. Department of State and collects the finished apostille in person. Mailing takes five weeks or more; our courier service runs 10 to 15 business days.

Are you a government office?

No. We are a private document authentication facilitator (apostille facilitator) and courier service. Apostilles are issued only by government offices, such as the Oregon Secretary of State and the U.S. Department of State. You can submit documents to those offices yourself, and our fees are for our facilitator and courier service.

What is an apostille facilitator?

A private service that helps you get an apostille or authentication. We check that your document is ready, notarize it if needed, prepare the request, and courier it to the government office that issues the apostille. We don't issue apostilles ourselves.

How much does an FBI apostille cost?

Federal authentication service (FBI apostille) is $225, and expedited service adds $140. If you also need the FBI background check, the $350 package includes both and is the better value.

Yes. If your document isn't in English, it needs a certified translation before we can notarize it. We offer certified translations for $65, or $75 with a notarized certificate.

Can a photocopy be apostilled?

No. Oregon only authenticates original notarized documents or certified copies from the issuing agency. For birth or death certificates, you first need a certified copy from Oregon vital records or the county.

How long does an apostille take?

Processing time is set by the issuing office and depends on how the documents are delivered. Tell us your deadline when you call and we will explain your options.

Can I get an apostille on my FBI background check?

Yes, but FBI results are federal documents, so the apostille comes from the U.S. Department of State, not Oregon. We can fingerprint you for the FBI check and explain the next steps.

Which countries need authentication instead of an apostille?

Countries outside the Hague Apostille Convention, such as the United Arab Emirates, Qatar, and Kuwait. Thailand also needs legalization until the Convention takes effect there on February 28, 2027. Authentication and embassy legalization courier service is priced by quote.

Can you get an apostille from a state other than Oregon?

Yes. We courier requests to any state. The apostille has to come from the state that issued or notarized your document, so a Texas birth certificate goes to Texas even if you live here. Other states are $125 to $195 for the first document and $65 for each additional one.

Which office issues apostilles in my state?

Usually the Secretary of State, but not always. Alaska, Hawaii, and Utah use the Lieutenant Governor's office, Georgia uses the Superior Court Clerks' Cooperative Authority, Michigan uses the Office of the Great Seal, and New Jersey routes through the Division of Revenue. Our state list shows the right office for each one.

How much is shipping?

Domestic shipping is $25 per shipment by FedEx or USPS, tracked. International shipping goes by DHL or FedEx and is quoted by destination and weight. Collection from any of our offices is free. Call (971) 514-3743.

What about a naturalization certificate, DD-214, or IRS letter?

How long does a fingerprinting appointment take?

Usually 15 to 20 minutes. Groups take longer, so tell us how many people are coming.

What do I need to bring?

A current government-issued photo ID, plus any forms, cards, or instructions from the agency requesting your prints, including an ORI number or reason code if they gave you one.

What if my fingerprints get rejected?

Rejections usually happen when prints are faint or smudged. Call us and we'll reroll them with extra care. Government and agency fees for a resubmission are set by them, not us.

Can you fingerprint children?

Yes, with a parent or guardian present who has photo ID. We do this for adoption, guardianship, and travel documents.

My prints are always hard to read. Can you help?

Often, yes. Faint prints from age, medication, or manual work need slower rolling and different techniques. Tell us in advance so we can allow extra time.

Do you run the background check?

No. We capture and submit fingerprints. The FBI, a state agency, or a channeler runs the check and controls the timing and the result.

What if I need another copy later?

We keep your fingerprint record on file, so reprints and resubmissions do not need a new appointment and we do not charge again for taking your prints. Agency and card fees still apply. Call (971) 514-3743 with the name and date of the original appointment.

Wills, estates, and employers

How many witnesses does a will need in Oregon?

At least two. Under ORS 112.235, each witness must see you sign or acknowledge your signature, and then sign the will.

Can a family member witness a will in Oregon?

Oregon law doesn't prohibit it, and a will isn't invalid just because a witness inherits under it (ORS 112.245). Using witnesses who aren't family and don't inherit is the safer practice.

Does an Oregon advance directive need witnesses or a notary?

Either one. Under ORS 127.515, it must be witnessed by at least two adults or notarized. Your doctor, health care provider, and the health care representative you're appointing can't be witnesses.

Does a power of attorney need to be notarized in Oregon?

Oregon's statute doesn't require it for a financial power of attorney to be valid, but banks often ask for notarization, and it must be notarized to be recorded for a real estate transaction.

How much do witness services cost?

In-office witnesses are $45 per witness. Mobile witnesses are $60 per witness, plus a separate $90 mobile fee within 5 miles of our Beaverton office, with a mileage fee beyond 5 miles. Each witness signature is $10, and each notarized signature is $10. A will usually needs two witnesses.

Who are your witnesses?

Independent adults we hire for your appointment. They aren't related to you, don't inherit anything, and have no interest in your documents.

Do you write wills or powers of attorney?

Can you handle a signing in Washington State?

Yes. Sarah is commissioned in both Oregon and Washington, so we can notarize in Vancouver and Clark County. Witness requirements differ by state, so tell us where you'll sign and we'll confirm what your document needs.

Can you handle a signing in Washington State?

Yes. Sarah is commissioned in both Oregon and Washington, so we can notarize in Vancouver and Clark County. Witness requirements differ by state, so tell us where you'll sign and we'll confirm what your document needs.

Can a notary complete Form I-9?

Yes, as the employer's authorized representative. USCIS lists notaries public among the examples of who an employer may designate. The notary is acting as the employer's agent, not performing a notarial act, so no notary seal goes on the form.

Do you notarize Form I-9?

No, and no one should. A notary seal does not belong on Form I-9. We complete and sign Section 2 as your authorized representative.

How fast does this need to happen?

Section 2 must be completed within three business days of the employee's first day of work. We offer same-day appointments.

Who is responsible if something is wrong on the form?

The employer. Designating a representative does not shift liability, so send written instructions and review the completed form.

Can you verify documents over video?

No. We examine original documents in person. The DHS alternative procedure that allows a live video examination is only available to employers enrolled in E-Verify and in good standing, and the employer conducts it.

How much does I-9 verification cost?
