Privacy policy

This policy explains what information we collect, how we use it, who we share it with, and how long we keep it. It covers our website and the services we provide in person and by mail.

Effective 2026-09-10

Who we are

Oregon Apostille Fingerprinting Notary is an independent private business at 2644 SW 178th Ave, Beaverton, OR 97003. You can reach us at (971) 514-3743 about anything in this policy, including a request to see or delete your information.

Information we collect

From our forms: your name, phone number, email address, city, the service you need, your preferred date, and anything you type in the message box.

From your documents: whatever appears in the files you upload or hand us for translation, notarization, apostille, or shipping. This can include dates of birth, government ID numbers, and family details.

From fingerprinting: your fingerprints and the identifying information the requesting agency requires, which may include your Social Security number, date of birth, and physical description.

From your visit: our web host records standard server log information such as your IP address, browser type, and the pages you open. We do not use advertising trackers or analytics cookies on this site.

How we use it

To quote, schedule, and complete the service you asked for, and to reach you about your appointment or documents.

To submit your request to the office that has to receive it, such as a state Secretary of State, the U.S. Department of State, an FBI-approved channeler partner, FDLE, or a courier.

To meet our legal obligations as an Oregon notary, including keeping a notarial journal as state law requires.

Who we share it with

Only the parties needed to complete your service: the government office or agency receiving your documents, our fingerprinting channeler partners, translators bound to keep your documents confidential, and the shipping carrier.

We do not sell your personal information, share it for advertising, or give it to anyone else unless you ask us to or the law requires it.

Fingerprints and background checks

We capture your fingerprints and pass them to the agency or channeler you are applying through. We are not the FBI, FDLE, or any government agency, and we do not receive or store your background check results unless you ask us to handle the next step, such as an apostille.

The agency that receives your fingerprints controls what happens to them after submission, under its own rules.

Your documents and uploads

Files you upload through the translation form go to the form service we use to receive them. Files you hand us stay in our care until they are returned to you or shipped to the office that needs them.

We keep working copies only as long as needed to finish the job and handle questions afterward, then delete them. Ask us to delete your files sooner and we will, unless we are required to keep something.

Please do not include Social Security numbers or other sensitive numbers in a message box. Send them only when the service actually requires them.

Our notarial journal

Oregon requires notaries to keep a journal of notarial acts. The journal records the date, the type of act, the type of document, the name and address of each signer, and how identity was confirmed. The journal is a public record under Oregon law, so a person can request an entry, and we must keep it for the period the law requires. We cannot delete journal entries at your request.

How we protect your information

Our website is served over an encrypted connection (HTTPS), and the forms transmit securely. Paper documents and fingerprint cards are kept out of public view and returned or shipped promptly.

No method of transmission or storage is completely secure, so we limit what we collect and how long we keep it.

Cookies and analytics

This site does not set advertising or tracking cookies. Our map uses an embedded Google Maps frame, and opening a page with the map may let Google set cookies or record your IP address under Google's own privacy policy. If we add analytics or booking software later, we will update this policy and name the service.

Children

Our services are for adults. We don't knowingly collect information from children through this website. When we fingerprint or notarize for a minor, a parent or guardian arranges it and provides the information.

Your choices

You can ask us what information we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. Call (971) 514-3743. We may need to verify who you are first, and we can't delete records we are legally required to keep, such as the notarial journal.

If you email or text us, you can ask us to stop contacting you at any time.

Changes to this policy

If we change this policy, we will update the date at the top of this page. Significant changes will be described here.

Privacy questions

Do you sell my personal information?

No. We do not sell personal information or share it for advertising.

How long do you keep my documents?

Why people trust us with their documents

Independent private business. Government offices issue apostilles, authentications, and background check results, and they set their own processing times.
